Privacy Statement

1. Information We Collect

We may collect a range of information from users of the Alumni App, including but not limited to:

• Personal Information: First and last name, graduation year, email address, and the school(s) from which you graduated.
• Optional Information: Employer name, job type, job title, personal achievements or highlights, and phone number.
• Technical Information: Device type, IP address, browser type, and app usage data used to improve the performance and security of the app.

2. How We Use Your Information

The information we collect may be used to, including but not limited to:

• Communicate with you about alumni events, updates, and opportunities.
• Maintain accurate alumni records.
• Generate anonymous, aggregated reports for internal use.
• Improve the functionality and experience of the Alumni App.
• Responding to public records requests in accordance with Florida state law.

3. Public Records Notice

By using the Alumni App, you acknowledge and agree to all terms outlined in Board Policy 8310 regarding access to public records including:

"Any individual may inspect and request copies of public records of this District during the regular business hours of the office in which such records are maintained. The District may not require requests for public records to be in writing, nor may the person requesting the information be required to disclose name, address, or phone number unless specifically required to do so by law. The Superintendent is authorized to grant or refuse access to the records of this District in accordance with the intent of this policy and applicable law."

Please note that certain information you submit through the Alumni App may be considered a public record and may be subject to disclosure in accordance with applicable laws and district policy.

4. Sharing of Information

MCPS does not sell or rent your personal information. Information may be shared in the following limited circumstances:

• With authorized MCPS staff for alumni engagement and internal reporting.
• As required by law, court order, or to comply with a valid public records request.

5. Data Retention

Alumni information submitted through the Alumni App will be retained in accordance with Florida’s public records retention requirements and applicable MCPS policies. In most cases, this information will be kept until it is no longer actively used for administrative, historical, or engagement purposes, or until it is deemed obsolete or superseded, in line with the State of Florida General Records Schedule (GS1-SL).

Certain information may be retained longer if required by law or if it holds ongoing administrative or historical value. Requests for correction or removal will be reviewed in accordance with applicable laws and district policy.

6. Children’s Privacy

The Alumni App is intended for individuals 18 years of age or older. In compliance with the Children’s Online Privacy Protection Act (COPPA), MCPS does not knowingly collect personal information from children under the age of 13. If we become aware that such information has been inadvertently collected, we will take steps to delete it promptly.

7. FERPA Compliance

The Marion County Public Schools Alumni App may collect or reference limited information related to a user’s educational history, such as graduation year and school attended. To the extent any such information is considered an education record under the Family Educational Rights and Privacy Act (FERPA), MCPS complies fully with FERPA requirements.

8. Changes to This Statement

We may update this statement from time to time. Any changes will be posted within the app with the updated effective date.
